Appointment reminders work best when they state the correct date, time, place and next action. In Momo Business, a scheduled messaging campaign can send a prepared reminder to a contact group through SMS or an approved WhatsApp template. A group can contain just one appointment contact when that is the appropriate audience.
Start with a controlled example before scheduling customer messages. The fictional appointment below is a repair consultation at Example Workshop; it does not contain customer records.
Prepare the appointment and sending account
You need access to Contacts and campaign management, an available sending identity, and enough spendable balance for the planned messages. WhatsApp also needs an active, approved template belonging to the business account behind your selected sending number.
Confirm the appointment in your booking record first. Record who will update or cancel the reminder if the booking changes. Creating a campaign does not connect it automatically to a booking calendar, and a saved appointment date does not automatically schedule a message relative to that date.
In Contacts, create a narrowly defined group such as “Workshop consultations — 14 October morning.” Add the intended recipients and any custom fields your message needs: appointment_date, appointment_time and location. Verify the complete international phone number for each person.
Exclude cancelled appointments and people who should not receive the reminder. A contact's unchecked subscription box does not automatically exclude them from messaging campaigns. Review group membership and applicable blocking controls before scheduling.
Schedule an SMS reminder
- Open Marketing → Campaigns and choose the campaign creation form.
- Give the campaign a specific name, such as “14 October appointments — previous afternoon reminder.” Select the SMS Sending identity and your checked Contact Group.
- Enter the Message. You can use
{{name}}and contact custom fields such as{{cf:appointment_time}}. Match field keys exactly and inspect contacts with missing values before sending. - Set a future Schedule for the reminder itself. For a 14 October appointment, that might be 13 October at 16:00. Confirm the date and time on the computer used to enter it, then check the saved campaign's displayed schedule.
- Leave Recurring campaign off for a single reminder. Use Send Interval if recipients should be spaced apart; it changes dispatch timing, not the appointment time in the text.
- Review the audience, message preview, estimate and balance before selecting Create Campaign. Without a future schedule, a one-time campaign starts processing immediately.
A suitable SMS example is:
Example Workshop: Your consultation is on 14 October at 10:30 at the City Centre desk. To change it, contact the workshop office.
For personalized copy, replace the date, time and location with your custom-field placeholders. Test the longest values as well as a typical appointment. Missing SMS fields can become blank text.
Use WhatsApp for the same appointment
Choose the WhatsApp Sending identity, then select the eligible approved template. A possible template body is “Hello {{1}}, your Example Workshop appointment is on {{2}} at {{3}}, at {{4}}. Please reply if you need to change it.”
Check that the sending values correspond to the customer name, appointment date, appointment time and location in that order. Numbered placeholders do not automatically connect to appointment records. Saved sample values can be used when actual values are missing. Verify the saved mapping and received message before using a template in a bulk campaign. If that mapping is not ready, use a reviewed individual template send from Inbox with the actual values supplied.
WhatsApp campaigns require an approved template even when a customer recently messaged you. Follow the template guide to create and test one.
Understand recurring message schedules
Automations → On a rhythm also offers New schedule → Send a message. It sends to one phone number on a recurring rhythm. It is useful for an operations reminder, but does not look up tomorrow's appointments or calculate a separate sending time for each booking.
Its {{slot_date}} and {{slot_time}} placeholders describe the scheduled run, not the appointment. For scheduled customer WhatsApp reminders, use the approved-template campaign route above. Do not rely on a free-text recurring schedule to work outside the available reply window, or assume that changing channel from sms to whatsapp is sufficient.
Check delivery and changed bookings
Send a test to a number you control using the same sender and wording. Inspect both the received message and the recorded result. A scheduled time starts dispatch; provider processing and delivery can take longer. “Completed” campaign processing does not prove every reminder arrived.
If a booking changes, pause or cancel the pending campaign where available and review whether any messages were already queued or sent. Those messages cannot be recalled. Prepare a clear correction only for affected recipients, and avoid Restart, which can create fresh sends to the whole group.
